Department of Registration and Student Affairs

Vision:

Leadership in higher education, scientific research and the development of academic programs to achieve sustainable community development. Creating an integrated system that seeks to build the balanced and creative personality of students capable of change and creating the future. The Department of Registration and Student Affairs seeks to achieve everything that would help students and address their academic cases in accordance with ministerial controls and instructions and simplify the procedures for student affairs and radically transfer them from traditional means to modern technical means to ensure the procedures for their admission and registration in the faculties of our university in an easy way to achieve excellence, develop work and ensure quality performance.

The Message:

Excellence in the quality of teaching, learning and scientific research by adopting strategies of analysis and critical thinking to qualify human resources cognitively and intellectually in a creative competitive environment and building an attractive and stimulating university environment for student energies to be employed to serve students and society. The tasks of the Department of Registration and Student Affairs in all matters related to student issues, whether technical or administrative, starting from the admission of the student to the university until his graduation to follow up and coordinate between the colleges in the light of the general objectives and the requirements of community development and follow up the implementation of decisions issued by the higher authorities, and organize and coordinate the admission of students. It is the link between the student and the university on the one hand and between the colleges and the Ministry of Higher Education and Scientific Research and external parties on the other hand, as it is concerned with the application of the principles and instructions issued by the Ministry of Higher Education in addition to its keenness to direct and supervise all matters related to student issues that are accomplished through the registration divisions in the colleges. Certainly, the mission of the department can not be achieved without the interaction and support of the senior management at the university for the work and procedures of the Department of Registration and Student Affairs.

Objectives:

  • Ensuring the reception of students at the university who are graduates of the preparatory study and guiding them to complete the registration and direct process.
  • Organizing all work related to student issues, whether technical or administrative, starting from the admission of the student to the university until his graduation by following up and coordinating between the colleges in the light of the general objectives and the requirements of community development, following up the implementation of decisions issued by the higher authorities, and organizing and coordinating the admission of students.
  • Seeking to improve the scientific level of students in line with the development at the level of advanced universities.
  • Give a bright picture of the level of organization of the work of the department and its registration divisions.
  • Following up the problems and obstacles facing students and finding appropriate solutions to them.
  • Building bridges of cooperation with other educational institutions inside and outside the Ministry of Higher Education and benefiting from their scientific and practical experiences.
  • Follow up the affairs of graduates with the Rehabilitation and Employment Unit at the university and work to strengthen their relationship with the university and help them provide suitable job opportunities for them.
  • Strengthening the links between the university student and the community and strengthening the sense of responsibility and affirming belonging to the homeland.

Tasks and Duties of the Student Affairs and Confirmations Division

  • Follow up on the implementation of examination instructions, controls, decisions and directives issued by the Ministry and the University regarding student affairs (initial study).
  • Implementing orders and directives issued by the Ministry and the University Presidency in the field of student affairs and undergraduate graduates.
  • Answering official correspondence received to the department from the ministry, attachés, university presidency, colleges, departments, ministries, governmental and non-governmental institutions…etc.
  • Auditing admission, transportation, and hosting in coordination with the college registration divisions.
  • Issuing orders regarding student admission, transportation, and hosting.
  • Coordination with colleges and other relevant entities in verifying the authenticity of the issuance of documents of accepted students and university graduates based on correspondence with the beneficiary entities.
  • Informing the Ministry/Department of Studies, Planning and Follow-up of cases of forgery in academic and university documents that are discovered by colleges.
  • Issuing university orders for graduation for the morning and evening studies and for the two sessions in light of the administrative orders issued by the colleges.
  • Conducting field visits to registration departments in colleges with the aim of achieving direct interaction, learning about the reality of work, and helping to overcome problems, if any.
  • Holding meetings and workshops for assistant deans, registration directors, and examination committees with the aim of improving performance.
  • Proposing activities and training programs for developing registration staff and examination committees in colleges, as well as implementing them if the possibility exists.
  • Preparing studies and proposals regarding the performance of registration divisions and examination committees in accordance with examination instructions, controls, and directives of the university presidency.
  • Supervising the application process for evening studies in the College of Education, following up on that, and announcing their acceptance after obtaining the necessary approvals.
  • Participation in audit and investigative committees related to student affairs.
  • Developing the capabilities of employees, especially those proposed by the university or department, through the participation of department members in training and development courses and attendance at official meetings of the department and university.
  • Authentication of documents of graduates of university colleges for morning studies.
  • Using electronic programs at work, including electronic archiving of mail and using e-mail for correspondence with institutions inside and outside Iraq.
  • Receiving students or their families, listening to their academic problems, and working to address them in accordance with instructions, controls, and directives.
