The department envisions creating an integrated system that seeks to build a balanced, creative student personality capable of change and shaping the future.
The Registration and Student Affairs Department seeks to achieve everything that assists students and addresses their academic situations in accordance with ministerial regulations and instructions. It aims to simplify procedures related to student affairs, shifting them radically from traditional methods to modern technological means. This ensures that the procedures for admission and registration in the colleges of the University of Al-Hamdaniya are smooth, thereby achieving excellence, developing workflows, and ensuring quality performance.
Mission: Excellence in the quality of teaching, learning, and scientific research by adopting strategies of analysis and critical thinking to qualify human resources cognitively and intellectually in a creative, competitive environment. The mission also includes building an attractive university environment that stimulates student energies to serve both the students and the community.
The tasks of the Registration and Student Affairs Department encompass all student-related issues, whether technical or administrative, from the student’s admission to the university until their graduation. This involves follow-up and coordination among the colleges in light of general goals and community development requirements, as well as tracking the implementation of decisions issued by higher authorities. As the entity organizing and coordinating student admissions, the department acts as the vital link between the student and the university on one hand, and between the colleges, the Ministry of Higher Education and Scientific Research, and external entities on the other. It is concerned with applying the principles and instructions issued by the Ministry, alongside its dedication to guiding and supervising all student issues handled by the registration divisions in the colleges. Certainly, the department’s mission cannot be achieved without the interaction and support of the university’s upper management for the work and procedures of the Registration and Student Affairs Department.
Goals:

Ensuring the proper reception of students at the university who are graduates of preparatory schools, and guiding them to complete the registration and commencement process.

Organizing work regarding all student issues, whether technical or administrative, from admission to graduation. This is done through follow-up and coordination between colleges based on general goals, community development needs, and monitoring the implementation of decisions from higher authorities.

Striving to elevate the scientific level of students in a manner consistent with the progress achieved at advanced universities.

Projecting a bright image of the organizational level of the department’s work and its affiliated registration divisions.

Following up on problems and obstacles facing students and finding appropriate solutions for them.

Building and extending bridges of cooperation with other educational institutions, both inside and outside the Ministry of Higher Education, and benefiting from their scientific and practical experiences.

Following up on alumni affairs in coordination with the Rehabilitation and Employment Unit at the university, working to strengthen their relationship with the university, and assisting in providing suitable job opportunities for them.

Consolidating the bonds between the university student and society, strengthening the sense of responsibility, and affirming a sense of belonging to the homeland.
Tasks and Duties:

Following up on the application of examination instructions, controls, decisions, and directives issued by the Ministry and the university regarding student affairs (undergraduate studies).

Executing orders and directives issued by the Ministry and the University Presidency in the field of undergraduate student and alumni affairs.

Replying to official correspondence received by the department from the Ministry, cultural attachés, the University Presidency, colleges, departments, ministries, governmental and non-governmental institutions, etc.

Auditing admissions, transfers, and hosting processes in coordination with the registration divisions in the colleges.

Issuing administrative orders regarding student admissions, transfers, and hosting.

Coordinating with colleges and other relevant entities in verifying the authenticity of documents for admitted students and university graduates, based on correspondence from beneficiary parties.

Notifying the Ministry (Department of Studies, Planning, and Follow-up) of forgery cases in academic and university documents discovered by the colleges.

Issuing university orders for graduation for both morning and evening studies, and for both examination attempts (first and second rounds), in light of administrative orders issued by the colleges.

Conducting field visits to college registration divisions to achieve direct interaction, review the reality of the workflow, and assist in overcoming any existing problems.

Holding meetings and workshops for Vice Deans, Registration Directors, and examination committees to improve performance.

Proposing training activities and programs aimed at developing the skills of registration staff and examination committees in the colleges, as well as implementing them when possible.

Preparing studies and proposals regarding the performance of registration divisions and examination committees in accordance with examination instructions, regulations, and University Presidency directives.

Supervising the application process for evening studies at the College of Education, following up on it, and announcing admissions after obtaining official approvals.

Participating in audit and investigative committees related to student affairs.

Developing employee capabilities, especially those proposed by the university or the department, by having department staff participate in training and development courses and attend official meetings.

Authenticating the graduation documents of university college graduates for morning studies.

Utilizing electronic programs in the workflow, including achieving electronic archiving for mail and using email for official correspondence with institutions inside and outside Iraq.

Receiving students or their families, listening to their academic problems, and working to resolve them according to official instructions, regulations, and directives.
