Beneficiary Services Division

The division specializes in providing information sources and services to beneficiaries to meet their informational needs, extending its services to students and researchers. It is also responsible for welcoming visitors to the Central Library and explaining the borrowing mechanisms and services provided. The division encompasses the following tasks:

Borrowing and Book Returns

As the core function of the division, this task serves as the benchmark for evaluating the library’s effectiveness and the services provided to beneficiaries. Its duties include:

  • Processing and signing graduation/clearance forms (Bara’at Dhimma) for students and employees of the University of Hamdaniya.

  • Issuing library borrowing cards for students and university staff.

  • Circulating borrowing regulations and fine policies to all libraries across the university.

  • Receiving returned books.

  • Renewing borrowed materials.

  • Issuing overdue notices to beneficiaries who fail to return books on time.

  • Participating in training courses organized by the library and the university to update the knowledge and skills of the library staff.

  • Participating in specialized committees related to library operations.

Book Hall Organization

Books in the main hall are organized on the shelves topically according to the Dewey Decimal Classification (DDC) system from 000 to 999. Services are provided to all beneficiaries through both internal (in-library) and external circulation. The hall features an open-shelf system for beneficiaries, alongside staff assistance to help patrons access information sources.

Theses and Dissertations

The library houses a collection of theses and dissertations across all disciplines, arranged topically on the shelves according to the Dewey Decimal Classification system. Borrowing dissertations is restricted to internal (in-library) use for senior undergraduate students (fourth-year), postgraduate students, and researchers. Access is supported by both an electronic index and a print index for Arabic theses, while foreign theses are logged in a dedicated register containing their titles, with staff available to guide beneficiaries to the required sources.

References

The library contains reference sources, including dictionaries, directories, encyclopedias, and geographical books and atlases across all fields of knowledge, arranged topically on the shelves according to the Dewey Decimal Classification system. Reference borrowing is restricted to internal use for fourth-year students, postgraduate students, and researchers. Reference books are systematically logged into an Excel database.

Periodicals

The library holds a valuable and important collection of periodical volumes supplied to the library, alongside a large number of donated Arabic and foreign periodicals. This section handles the following procedures:

  • Receiving, sorting, auditing, and shelving donated periodicals.

  • Electronically logging all periodicals received by the department.

  • Drafting letters of appreciation and acknowledgments of receipt for entities that donate periodicals to the library.

  • Managing the circulation of periodicals, which includes internal borrowing for undergraduate students, external borrowing options, and internal borrowing for postgraduate students and researchers, while helping beneficiaries efficiently access information sources.
